Data deletion instructions

These instructions explain how to request deletion or erasure of personal data handled through FleetMateUK. This page is public; signing in is not needed to read it.

1. Identify who controls your data

Vehicle movements, driver records, customer details, photos, and job information are supplied by the business using FleetMateUK. That business generally decides how this information is used and is the data controller. FleetMateUK processes it on the business's behalf. If you are a driver, customer, or vehicle owner, start by contacting the business that organised your job or invited you to FleetMateUK.

For FleetMateUK's own account, security, and support records, FleetMateUK handles requests in its capacity as controller.

2. Request deletion through your company

  1. If you are your company's authorised administrator, sign in and open Data, Backup & Restore.
  2. Select Request erasure of eligible personal information and follow the on-screen review process. For the whole company account, use the separate Close company account workflow on that page.
  3. Keep the request record and check its status in the same workspace. Filing a request does not immediately remove records or close accounts.
  4. If you are a driver, dispatcher, or customer without administrator access, ask the organisation responsible for the data to submit or coordinate the request. Authorised company managers can also use the private in-app Support area for help with data and privacy queries.

If you no longer have access to FleetMateUK, contact the business that invited you or arranged your vehicle movement. Explain which information you want reviewed and give only the minimum details needed to identify the relevant records. Do not send passwords, access tokens, or identity documents through an unverified channel.

Contact FleetMateUK without signing in

For information controlled directly by FleetMateUK, such as account, security and support records, or if you no longer have access to your account, contact privacy@fleetmate.uk. You may also write to this address for help finding the correct business contact. For driver, customer or job information controlled by a FleetMateUK customer company, contact that company first.

State the type of request and how the records relate to you. Do not send passwords, access tokens, identity documents or unnecessary customer/vehicle details in your initial email. We will explain any additional verification needed before processing a request; sending an email is not an automatic deletion instruction.

3. What happens after a request

Requests are reviewed and identity or authority may need to be verified. We aim to respond without undue delay and normally within one calendar month of receiving a valid request (or any necessary identity verification). Where the law permits an extension for a complex request, we will explain it within the initial period.

Deletion is not absolute: records may need to be kept where there is a lawful obligation, an ongoing claim, or another applicable exception. We will explain what can be erased, what must be retained, and why. Existing in-app review or closure periods do not override statutory response deadlines.

4. Facebook and WhatsApp data

FleetMateUK's WhatsApp Business integration is not activated for real customer messaging at present. If a business connects Meta services in the future, its administrator remains responsible for requesting deletion of eligible FleetMateUK records for that business. Removing an app connection does not itself guarantee deletion of stored FleetMateUK data.

Data retained by Meta, another business, or a recipient on their own systems may require a separate request to that organisation.

5. Further information

See our Privacy notice, Terms of service, and Data processing agreement. If you disagree with the handling of your request, you can raise a complaint with the UK Information Commissioner's Office at ico.org.uk.
